The short version
- This app is free for you. Your coach pays for it. You never pay PT Track.
- You must be 18 or over.
- Your coach invited you. You cannot sign up on your own, and only your coach can see your coaching record.
- Your videos are yours. You choose whether to send them, you can change your mind, and you can ask for a copy or have them deleted from inside the app, without asking anyone's permission.
- We are not your trainer. Your coach is. We make the software.
Everything below says the same things in more detail.
1. Who we are
PT Track Ltd, a company registered in England and Wales, company number 17529923. Our registered office is 263 Convent Way, Southall, England, UB2 5UJ. Our website is https://www.pt-track.co.uk.
Email us about anything in these terms, or about your personal information: gilmardekowski@pt-track.co.uk.
2. What the app does
Your coach uses PT Track to coach you. Through it, they set your training, follow the workouts you log, and review your technique from short videos you film on the days they set. You and your coach can also send each other messages.
You can use the app without sending any videos. Saying no to video changes nothing else about your coaching in the app.
When we add paid sessions or body projection videos, or let you send photographs to your coach, we will tell you and update these terms first.
3. You must be 18 or over
This app is for adults only. When you accept your coach's invitation you type your own date of birth. Your coach never types it for you. The app will refuse to let you in if the date shows you are under eighteen.
Being straight about what that check is. The app checks the date you type, but it cannot know whether the date is true. So there is a second check that is not software. Your coach confirms, when they invite you, that they have met you and that you are 18 or over. That confirmation is recorded against their name. A coach who knowingly invites someone under 18 loses their account.
This is not a formality. No exception is available for anyone.
4. How you got here, and what your coach can see
Your coach gave you an eight-character code. That code is what links your account to them. There is no public sign-up.
Your coach can see: your name, email and phone, your health screening answers and goal, your training and food log, any measurements or heart-rate readings you share, your form reviews, your messages, the video clips you send them, and their own notes about you.
Your coach cannot see: your password. They also cannot see anything from before your coaching relationship with them started. If you have had another coach in this app, your new coach does not inherit that coach's notes about you.
Other coaches and other clients can see nothing about you at all. This is enforced by the way the database is built, not only by the app's screens. The database is set up so that only you and your current coach can read your information through the app. People at PT Track can look at it only in the narrow cases described in the privacy notice.
We can see it, in the sense that we run the servers. Our rules about when a person at our end looks at anything are in our privacy notice.
5. We are not your trainer, and we are not a doctor
Your coach is a professional you have chosen. Everything you receive through this app, including the workouts and the advice, is theirs. We provide the software. We do not check, approve or endorse their coaching.
The exercise instructions are ours. The steps, the tip and the "watch out for" line on each of our built-in exercises were written by PT Track with help from AI, and checked by us. They explain how an exercise is generally done, for anyone. They are not advice about you. Where your coach tells you something different, do what your coach says. You can read more on our AI page.
Nothing in this app is medical advice, a diagnosis or a treatment. Talk to a doctor before starting or changing how you train or eat. Do this especially if you are pregnant, recovering from an injury or illness, taking medication, or have a condition that exercise might affect.
If something hurts, stop, and tell your coach. The app has a way to flag pain. Flagging it stops your coach's plan from pushing the load up until they have looked at it.
If you feel unwell while training, stop and get medical help. In an emergency, call 999. For urgent medical advice that is not an emergency, call NHS 111, the NHS health advice line.
6. If this app makes you feel worse about your body
Say so. Tell your coach, or tell us at gilmardekowski@pt-track.co.uk.
You can stop sending videos at any time without stopping your coaching, and you can delete the videos already there (see section 8). None of this needs a reason, and none of it is reported to your coach as a problem.
The app is built so that nothing praises or comments on how you look. Praise is only ever for something you did, like logging a session. There are no leaderboards, no challenges and no comparisons based on weight or measurements. If you find something in the app that breaks that rule, tell us. It is a bug, not a feature.
If you are struggling with how you feel about your body, or with eating, a doctor or a qualified professional is the right place to go, and it is worth going early.
7. Your videos and your health information: what you are agreeing to
Videos of you training, your measurements, and anything you tell us about injuries or pain are health data. This is the kind of personal information UK law protects most strongly. Because of that, we ask for your explicit consent, separately from these terms, before any of it is collected. That consent:
- is asked for in plain words, on its own screen, with nothing pre-ticked;
- is asked separately for the videos you send your coach and for your health information, so you can agree to one and not the other;
- records which version of the wording you were shown, and when;
- can be withdrawn at any time in the app, without giving a reason.
Videos of your lifts, for your coach
On the form-review days your coach sets, you film each exercise for 20 seconds in the app, with sound, and send the clips to your coach. Your coach grades each one. They may draw lines over it, write you a note, or send you a short video showing the fix. This is ordinary coaching. It is how a coach can tell whether your squat is safe without standing next to you.
- Who sees them: only you and the coach who is coaching you now. Not a coach you had before, and not a coach you have later. Nobody at PT Track looks at them unless you ask us to, we are looking into a security problem or a report of misuse, or the law requires it.
- Where they are kept: in London, in the United Kingdom.
- Sound: your clips keep their sound, so anything said near you while you film is recorded too.
- How long: we keep your last 3 reviews. When a 4th review is graded, the oldest review's clips, your coach's drawings and the correction videos recorded for you are deleted automatically within 24 hours. Your coach's grades and notes stay as part of your coaching record.
- Stopping: you can withdraw at any time in the app, on the Your data page. From that moment you cannot send new clips and your coach cannot see the old ones. Seven days later they are deleted, unless you agree again before then. If you want a copy, download your data first, on the same page. Deleting them straight away is a separate choice, on the same page.
- In your data download: yes, as video files.
- Never: used to train AI, used in advertising, or sold. They are not shown to anyone outside your coaching, apart from the narrow cases set out in section 8 of the privacy notice, such as a security problem or a legal duty.
Without it, you can still be coached. Your coach would work from the sets you log and what you tell them, and could not check your technique on video.
What we will never do with your videos
- We will never use them to train an AI model.
- We will never use them in advertising, or show them to anyone outside your coaching relationship.
- We will never sell them, or share them with advertisers or data brokers.
Withdrawing and deleting are different choices. "Withdraw consent" and "delete my data" are often assumed to be the same button. Here they are separate, in the same place, and the screen says which one you are pressing. For videos of your lifts, withdrawing hides them from your coach at once and deletes them 7 days later, as described above. Deleting them straight away is a separate choice.
8. What you can do about your own data, any time
All of this is in the app, on the Your data page. You do not need to ask your coach and you do not need a reason.
| You want to | What happens |
|---|---|
| See what is held about you | You get a copy of everything, including your coach's notes about you. |
| Get a copy to keep or take elsewhere | You download it inside the app, in a common format. We tell you in the app, and by an email with no link in it, when it is ready. |
| Fix something wrong | You can correct it, or ask us to. |
| Delete a video | The files are deleted within 24 hours. |
| Stop sending videos but keep coaching | Withdraw your consent for them. The coaching carries on. |
| Delete your whole account | In the app. It is permanent. See Delete your account for what happens and when. |
| Object to what we are doing | Email gilmardekowski@pt-track.co.uk and we will answer. |
| Complain about us | Tell us, or go to the Information Commissioner's Office (the ICO, the UK's data protection regulator) at ico.org.uk. You can go to the ICO at any point, whatever we say. |
You can also ask to delete your account from our website, without reinstalling the app. This is the right route if you have already deleted the app. Go to Delete your account. Either way, we will check you are who you say you are before we act on it.
What "deleted" means exactly, including what goes, what has a short grace period and what we must keep, is set out on that page. It is worth reading before you press the button, because it cannot be undone.
9. If your coach cancels or stops coaching you
You are not deleted with them, and your data is not kept without asking you.
When your coach's subscription ends, their access to your record stops at that moment. This is done in the database, not by us remembering to turn it off. Then the app asks you what should happen to your own data, and offers three answers:
- Keep it. It stays stored, visible to nobody, ready if you get a new coach.
- Send me a copy. We prepare a copy for you to download.
- Delete it. We permanently delete it, including the records, the files and your sign-in, after 7 days.
If you do not answer, nothing happens to it. It goes dormant, which means it is stored and visible to no one: not your old coach, not a new coach, and not us in the app. It waits for you. Silence is never treated as permission to delete. If a new coach invites you later, you will be asked again before anything is unlocked.
10. What we ask of you
Be honest about your date of birth. Do not share your password or let someone else use your account. Only send photographs or videos of yourself, never of anyone else and never of a child. Do not upload anything unlawful. Be civil to your coach in messages.
Do not try to get round the 18+ rule, and do not ask your coach to.
If you break these rules badly we may suspend or close your account, and we will tell you why. You can take your data with you (see section 8).
11. When we are responsible, and when we are not
Nothing here takes away your legal rights as a consumer. If anything in these terms conflicts with UK consumer law, the law wins.
We are responsible for the app doing what these terms say it does, for keeping your data secure and where we say it is, for deleting what we say we delete, and for any AI feature working as our AI page describes.
We are not responsible for your coach's coaching, for the results of following it, or for what your coach says to you.
We do not limit our responsibility for death or personal injury caused by our negligence, for fraud, or for anything the law says we cannot limit.
The app is free to you, which limits what you could claim from us for it. But it does not limit anything you are owed for the misuse of your personal data. That right is set by law, not by these terms, and nothing we could write here would cap it or take it away. It is yours whether you paid us or not, and you can take it to the ICO or to a court.
12. If we change these terms
We will tell you in the app before a change that matters to you takes effect, and the app will ask you to accept the new version. Every version is numbered and dated, and we keep a record of which one you accepted. If you do not want to accept it, you can download your data and delete your account.
If we change what we do with your health data, which includes your videos and your health information, we ask for your consent again. We do not treat an old consent as covering a new use.
13. Complaints, and the law
Tell us: gilmardekowski@pt-track.co.uk. We will acknowledge your complaint and tell you the outcome.
If it is about your personal information and you are not happy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk. You can do that at any point, without going through us first, and you can also go to court.
These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland you can bring a claim in your own country's courts.
