Delete your account

How to delete your PT Track or PT Track Coach account and data, what happens next, and what we keep.

Version deletion-v2 · Last updated 7 November 2026

This page is about deleting your account and your data in PT Track (the app for clients) and PT Track Coach (the app for coaches). Both are made by PT Track Ltd. You do not need the app to use this page, so it works if you have already uninstalled it.

How to delete your account

If you are a client, in the PT Track app

  1. Open the PT Track app and sign in.
  2. Go to the You tab.
  3. Choose Your data.
  4. Choose Delete my account.
  5. Read the confirmation screen. It tells you what will be deleted, what we have to keep and why, that deletion takes effect in 7 days, and how to stop it before then.
  6. Choose Delete it to confirm. You do not need to give a reason, and you do not need to ask your coach.

If you are a coach, using the PT Track Coach app

Coaches ask for deletion by email for now. Deleting your account is not yet a button in the coach app.

  1. Cancel your subscription first. Deleting your account does not cancel it, and you would keep being charged for an account that no longer exists. Only the store you subscribed through can cancel it. The coach app has a button that opens the store's own subscriptions screen.
  2. Email gilmardekowski@pt-track.co.uk from the address on your account, and say that you want your PT Track Coach account deleted.
  3. We will reply and check that you are who you say you are before we act. Once we have checked, your account is deleted as described below.

If you have already uninstalled the app

  1. Email gilmardekowski@pt-track.co.uk, preferably from the email address you used for your account.
  2. Say that you want your account deleted. Tell us whether you used PT Track (as a client) or PT Track Coach (as a coach), and the name on the account.
  3. We will reply and check that you are who you say you are before we act. A stranger must not be able to delete, or stop the deletion of, someone else's account by sending us a message.
  4. Once we have checked, your account is deleted in the same way as if you had done it in the app.

If you are a coach, cancel your subscription with Apple or Google yourself first. We cannot do it for you.

We answer any request by email within one month. If a request is complicated we may take up to three months, and we will tell you if we do.

What happens next

Deletion takes effect 7 days after you confirm. The 7 days exist so that a misplaced tap can be undone. You can stop the deletion at any point inside them, in the app or by emailing us. If you ask by email, we check you are who you say you are first. After the 7 days it is gone, and it cannot be undone.

Joining a new coach inside the 7 days cancels the deletion. Accepting a coach's invitation is taken as changing your mind: the deletion stops, your information stays, and your answer is recorded as "Keep it". Once the 7 days are up, the deletion goes ahead, and an invitation code is refused until it has finished. You would then join with a new sign-in.

Deleting your whole account is allowed even while you have a coach. It ends everything on purpose, including your coaching with them.

What is deleted

When a client deletes their account

WhatDetails
Your account and profileName, email, phone, date of birth and time zone.
Your coaching recordGoals, workouts, logged sets, form reviews, your coach's notes about you, and the rest of the record.
Every photograph and videoThis includes your form-review video clips, and anything made from them. We delete the files, not only the records that point to them.
MessagesYour messages with your coach, including the videos and voice notes your coach recorded for you in the conversation. We delete the files, not only the records. A clip your coach sent from their own library stays theirs, and only the link to it goes.
What you wrote to PT Track through HelpOur copy in London. The email copy in PT Track's Help inbox is not deleted automatically. If you want it removed, email us.
Notifications and sign-inNotifications, device records, the phones we keep so we can tell you about new messages, and your sign-in with its sessions. A phone's record also goes when you sign out on that phone, and the app asks Google to delete that phone's Firebase installation id. Firebase is the Google service that delivers notifications.

Records and files both. Deleting a database record on its own can leave a video sitting in storage. We delete the stored files first and the records after.

When a coach deletes their account

Deleting your coach account:

  • ends every coaching link;
  • asks every one of your clients what should happen to their own data (see "If your coach stops coaching you" below);
  • deletes your own account data, your templates, your exercise videos and your messages;
  • removes the phones we keep so we can tell you about new messages; and
  • keeps only what the next section says we must keep.

One thing to know. We do not delete the empty shell of your coach account outright. We close it and strip it. Your name, business name and phone are emptied, your email is replaced, and the sign-in link is cut so that nobody can sign in to the account again. The empty record stays because your former clients' own records, and their recorded answers about their own data, hang from it. Deleting it would destroy their record as a side effect of you leaving. What is left cannot identify you.

Backups

Once a deletion runs, the data is removed from the live service. Our encrypted backups roll off on their own cycle, so a deleted item can remain in a backup for a time after it is deleted. Nobody uses a backup to look at your data. It exists to restore the service after a failure, and if we ever had to restore one we would apply the deletions again.

What we keep, and for how long

We keep only the minimum the law and our own protection need. It never includes a photograph, a video or anything made from one.

What we keepFor how longWhy
A record that a consent was given and withdrawn: which consent, which version, when, and a one-way scrambled form of your IP address6 yearsIt is our evidence that we asked properly. Deleting it would destroy the proof that the deletion was lawful. Six years is how long a claim can be brought in England and Wales. It is not a figure set by law for this record.
A record that a deletion was requested and completed6 yearsThe same reason.
Security and audit events, with your identifier replaced by a meaningless one12 monthsInvestigating a security breach.
Counts that cannot identify you, such as how many people joined last monthNo end dateThey cannot be traced back to you.

How long each step takes

StepHow long
Withdraw a consentImmediate.
Delete one photograph or videoImmediate for you. The files are deleted within 24 hours.
Withdraw consent for your lifting videosHidden from your coach at once. The files are deleted 7 days later, unless you agree again before then.
Delete your account, or answer "Delete it" when your coach has stopped coaching youThe deletion runs after 7 days.
Prepare a copy of your dataWe tell you in the app when it is ready, and by an email with no link in it.
Any request by emailWithin one month. Up to three months for a complicated one, and we tell you if we extend.

Deleting is not the same as other choices

Four different things are often mistaken for one button. They are separate, they are in different places, and the app says which is which when you choose.

  • Stop paying (coaches). This happens at Apple or Google, never in our app. It does not delete anything.
  • Stop coaching one client (coaches). End the link in the app. It does not delete the client or their data. The client is asked what should happen to their own data.
  • Stop sending videos (clients). Withdraw your consent in the app. Your coach cannot see the videos from that moment, and they are deleted 7 days later unless you agree again. Your coaching carries on.
  • Delete everything (coaches and clients). Delete your account, as above. It cannot be undone.

If your coach stops coaching you

If you are a client and your coach's subscription ends, or your coach ends the link, you are not deleted with them. Their access to your record stops. The app then asks you what should happen to your own information, and offers three answers:

  • Keep it. It stays stored and visible to nobody until you get a new coach. Nothing is deleted.
  • Send me a copy. We prepare everything we hold about you as a download. Nothing is deleted.
  • Delete it. We permanently delete your information, which means the records, the files and your sign-in, after 7 days. This cannot be undone. If you join a coach again later, you start with a new sign-in.

You do not have to answer. If you do nothing, your information stays stored and visible to nobody: not your old coach, not a new coach, and not us in the app. We will never delete it just because you did not reply.

While you have a coach, "Delete it" is refused, because it would also delete your work with your current coach. The app says so and offers the two safe routes: "Keep it", or deleting your whole account as above.

If we ever close the service

If we ever stop running PT Track, we will tell every coach and client in advance, keep the data copy working while we do, and delete everything afterwards on the schedule on this page. Nobody's data is sold, and it is not transferred to another company without asking you first.
